E-mail apps can have several useful features to make everyday life easier. In services such as Mail (iPhone), Gmail and Outlook, for example, it is possible to configure several settings to improve the use of available tools. These include scheduling messages to be sent or defining gestures to delete or archive emails. In addition, the platforms also have management functions that allow, among other things, to merge multiple accounts in one place – even if they have different hosting addresses. 1. Integrate email calendar with other apps

Integrating your email calendar with other apps allows you to receive inbox alerts about events and tasks. In Outlook, for example, you can connect to Evernote and Facebook. In this way, the user receives reminders of important activities, as well as notifications on birthdays of friends and family.

Another feature of Outlook is to add game schedule to the app. Sports such as baseball, basketball and football are on the list of competitions that can be followed by the email calendar.

To manage your Microsoft email calendar, go to “Settings” > “Calendar” > “Notifications”. If you want to explore the sports programming area, tap “Settings” > “Interesting calendars” and select from the available options. When adding a schedule to your app, it will be saved in the “My Calendars”.

2. Schedule emails and unsubscribe

Another trick that can be done in some email applications is the option to schedule sending. With the function, it is possible to determine a specific time for the recipient to receive the message, which can be useful in cases of time difference, for example. The possibility of canceling sent emails is also something that aims to facilitate the day to day, after sending by mistake.

In the Mail app, for iPhone (iOS), for example, it is possible to either schedule shipments or cancel them, even after dispatch – this is for those who have iOS 16. For scheduling, just press and hold the send button and select between the available preset time options. Also, if you want, you can enter the time and date for sending the email. To cancel forwarding a message, press “Undo Send” in the lower area of ​​the screen.

In Gmail it is also possible to schedule a message. To do this, after typing the text, tap on the three dots in the upper right corner and then go to “Schedule Shipping”. Some time options will appear, but you can also customize them by tapping “Choose date and time”. If you want to undo a scheduled send, press the three horizontal bars at the top left and go to “Programmed”. Open the email and tap “Cancel Send”.

3. Enable email tracking

Enabling email tracking is also another useful possibility. That’s because it allows the app to transfer a sent message to the main inbox. That way, the user is reminded when they need to receive an email response. This function is available in Mail, which detects messages that the user has flagged as waiting for a reply. In these emails, you can see a button to follow up.

When touching the option, the user is forwarded to the interface of a blank e-mail, with the recipient’s e-mail address filled in to speed up sending. Outlook, in turn, also presents an option where it is possible to flag a sent message, so that it is available in the main inbox. In this way, the follow-up process is facilitated. To do so, after sending an email, tap the three dots next to the recipient’s name and press the option “Signal”.

4. Do smart search to look for messages

Searching for a specific message among several emails can be a complicated task. However, some applications facilitate the search through intelligence tools that can present more relevant results. This is the case with Mail and Gmail, which support some optimized features in this regard.

In Mail, for example, search suggestions are presented based on the most frequently shared content. In addition, the application can also perform searches through synonyms, and correct typing errors. The latter, however, is only available for terms in English.

In Gmail, a search bar is presented as an option, and displays both the history previously searched by the user and similar word suggestions when searching for something in the application.

5. Insert reminder to reply later;

Inserting a reply-to-later reminder allows the user to receive an alert that reminds them to reply to an email after a certain period of time. In this way, it is not necessary to identify a message as “Unread” so that it is highlighted in the app.

The function is available in Mail and can be activated by tapping the desired message and then swiping it to the right. When doing so, press “Remember Me”. The application will present the options of alert times, which can be between one hour, at night or the next day. If you prefer to specify a date and time, tap “Remember Later” to customize the notification.

6. Apply functions to swipe (swipe)

Another tip that facilitates the use of email applications is to configure functions to be done with a swipe. With it, you can perform actions such as delete, archive or mark as read just by swiping your finger over an email. In Mail, the functionality can be explored in the iPhone settings under “Settings” > “Mail” > “Swipe Options””. then select “Swipe right” or “Swipe left” to choose how each action behaves in the app.

In Gmail, go directly to the app and tap “Settings” > “General Settings” > “Swipe Feature”. In this area, you can change what the app does when you swipe left or right. It is possible to select between “To file”, “Delete”, “Mark as read/unread”, “Move to”, “To postpone” and “None”.

Outlook also offers the same feature in “Settings” > “Swipe Options”. By default, pulling the screen down refreshes the inbox in both Mail and Gmail and Outlook.

7. Explore other inbox types

You can also organize emails according to their contents. In Mail, for example, you can select the app to categorize messages between received emails “Today”a folder that displays only the day’s messages, and “Attachments”, which lists all emails with PDF’s, files, images, etc. To activate the function, go to “Inboxes” in the upper left corner. then press “To edit”. Then turn on smart inboxes. To reorder them, just press and drag the three-line icon up or down. so press “Concluded” to enter them into the app.

Another way to customize your inbox is to concentrate all your email accounts in just one app, even if the hosting addresses are different. In this sense, it is possible, for example, to view Gmail messages in the Mail app – which eliminates the need to have to switch applications every time you need to check a different account.

To add new accounts in Mail, go to “iPhone Settings” > “Mail” > “Accounts” > “Add Account”. In Google email, tap your profile picture in the top left corner, then tap “Add another account”. In Outlook, the functionality can be managed in “Settings” > “Add Email Account”.
